To create a workbook for a new year - Using Macro - Shortcut method To create a workbook for a new year - The long Manual Method
1) Take the previous years workbook and copy to a new year 1) Take the previous years workbook and copy to a new year
       File>Saveas>GLORYDAY20??        File>Saveas>GLORYDAY20??
2) Press CTRL + A to set up the new data
3) Press CTRL + D to set the new date (Note- this can be done at anytime BUT MUST BE DONE ON RACEDAY) 2) On the SHIRT SORT Sheet - copy previous data
      Unprotect sheet - Tools>Protection>Unprotect
      Copy the summary data  - from previous year column
To input new data:       Highlight the previous year summary data rows 5-12 I.e E5-E12 - Edit>Copy
1) On Name sheet input current year race number       Paste to this years column - File >Paste
         Using the FIND function - determine if the runner is already in the file       Now, secure the previous year data so you donlt lose it,  
              CTRL-F - type in name click FIND NEXT       Highlight the previous year summary data rows 5-12 I.e. E5-E12 - Edit>Copy  
         In column B  - type in number of runner        Place cursor in top cell of the same column I.e E5  - Edit>Special Paste 
         In column A - change the race catergory accordingly       Click on Values and OK
         Verify Address and Birthdate
         In runner not in database - go to bottom of file and input all information       Copy data down  
         Delete any runners previously register that are not registered       Highlight cells A4- B4 - Edit >Copy
         Highlight the row A -N press DELETE       Highlight cells A5 to A300 - Edit >Paste
Once all runners are in file - then Press CTRL +N to sort the runners in numerical order
      Protect sheet
      Tools>Protection>Protect Sheet - click OK ( Do not password protect)
2) Once all runners are in the datbase - go to Time Sheet - input times and ranks
         Be sure to use a 24 hour clock time  1:15:18 format  3) On the NAME sheet Clear select data
         For less than one hour 00:30:21        Highlight the runners numbers in Col B - press DELETE
Be sure to input the tie rank in for runners who come in at the same time in the                same catergories        Highlight the catergory in column A - press DELETE
       Highlight the Shirt Size in column J - press DELETE
3) Once all race times are in the datasheet - go to Sort By Catergory - to sort times        Highlight the FEE in column K - press DELETE
        Press CTRL + B  to sort the catergories of runners        Highlight the Distance in column M - press DELETE
        After each catergory insert a line         Change the date in cell N:5
       Now sort each caterogory by time and rank         In cell N5 type current date 12MAY2001 (format)
             Highlight the individual catergories A:H
             Data>Sort>Column C, Column I Ascending 4) On the TIME sheet remove the time field
       Highlight the times in Column C  - press DELETE
4) Print Race Results        Highlight the Tie Rank in Column J  - press DELETE
          On- SORT BY CATERGORY SHEET
          Highlight range with data        Copy the data down
          File> Print         Highlight cells A4:J4> Copy
          Click on SELECTION button and OK         Highlight cells A5:A300> Paste
5) On the SORT BY CATERGORY Sheet - Copy data
         Hightlight cells A:54 to J4   File>Copy
         Highlight cells A5t o A300  File> Paste
To input new data:
1) On Name sheet input current year race number
         Using the FIND function - determine if the runner is already in the file
              CTRL-F - type in name click FIND NEXT
         In column A - change the race catergory accordingly (See below for catergory coding)
         In column B  - type in number of runner 
         Verify Address and Birthdate
         In column J  - type in the Shirt Size that they want (not what they got) S,M,L or XL
         In Column K - type in the fee paid
         In Column M - type in the distance  5 or 10
         In runner not in database - go to bottom of file and input all information
         Once all runners are in file - then sort the file by runner number
         Highlight A9:N(end of data)
         Data>Sort> Column B - Ascending
        Once the file is sorted by number - remove any runners from previous year
        Highlight the block of non-runners  columns A - AR   File>Copy
        Go to Cell A500 and then to the end of the data that is there
         With cursor in Column A - File>Paste
        Go back to the cells above line 300 for non runners and remove these by highlighting
               columns A through AR and press DELETE (DO NOT DELETE ENTIRE ROWS)
2) Once all runners are in the datbase - go to Time Sheet - input times and ranks
         Be sure to use a 24 hour clock time  1:15:18 format 
         For less than one hour 00:30:21
Be sure to input the tie rank in for runners who come in at the same time in the                same catergories
        Once all the times have been entered, sort the Time
        Highlight the range of A5 to J300   Data>Sort
              Sort first by Distance - column G - descending
               second by Catergory - Column I- ascending
               third by Catergory - Column D- ascending
               Click OK
       Once the sort is done - scan down the page - make sure that the Gender Column
              Distance Column and Age column are all matching the Catergory column.
           If there are any error make the changes on the NAME sheet and them re-sort the 
               Time sheet.
3)  Go to Sort By Catergory - to create a printable list
        Unprotect the worksheet - Tools>Protection>Unprotect
          After each catorgory  - insert a row  click on the row number - right click - select INSERT
       Now sort each caterogory by time and rank
           Scan the tie rank column - if 2 runners came in with the same time then you need to 
              sort just this section.
             Highlight the individual catergories A:K
             Data>Sort>Column D, Column K Ascending
      Bold the first 3 winners in each catergory
           Highlight the 3 rows cell A - K - click on the B in the task bar 
4) Print Race Results
          On- SORT BY CATERGORY SHEET
          Highlight range with data - (5F5 & 10) (5M5& 10) (10F5 &10) (10M5&10) (Walk)
          File> Print
          Click on SELECTION button and OK
         Have another person scan the report before giving to MC

5M16 - 5Km - Male - age 16-19
5M20 - 5 Km - Male - age 20 to 39
5M40 - 5 Km - Male - age 40 and over
5F11 - 5Km - Female - age 11 and under
5F12 - 5 Km - Female - age 12 to 15
5F16 - 5Km - Female - age 16-19
5F20 - 5 Km - Female - age 20 to 39
5F40 - 5 Km - Female - age 40 and over
10M19 - 10Km - Male - age 19 and under
10M20 - 10 Km - Male - age 20 to 39
10M40 - 10 Km - Male - age 40 and over
10F19 - 10Km - Female - age 19 and under
10F20 - 10 Km - Female - age 20 to 39
10F40 - 10 Km - Female - age 40 and over
WALK - all walkers regardless of age
